Ask for a specific change

Say what you need and by when

A client wants a quote by Friday. You’re missing a drawing with measurements, which you need to prepare an accurate price. A message like “I need you to send it sooner” leaves it unclear what “it” is and what “sooner” means.

Combine an observable situation, its impact, and a specific request. “I need the drawing with measurements to prepare the quote. Could you send it by Wednesday at 12.00 so we can meet the Friday deadline?” If the client can’t meet that deadline, you can agree to push it back or provide an estimate, if you have enough information to do so.

Practice. Think of a request you often make vaguely. Specify the document, the time, and a brief reason.

You need a drawing with measurements by midday Wednesday to prepare a quote for Friday. Which message will make it easier to reach an agreement?
